Refund Policy
Review Date: Annually
- Purpose
It is the policy of London College of Legal Studies (South) (“LCLS(S)” or “the College”) to maintain fair, transparent, and consistent procedures regarding refunds of tuition fees and other charges paid directly to the College.
This policy explains the circumstances under which students may be eligible for a refund of fees paid to the College, the application process, and any applicable deductions.
- Scope
This policy applies to all students enrolled on programmes delivered by London College of Legal Studies (South), including students registered for University of London programmes offered through the College as a Recognised Teaching Centre.
- Definitions of Fees
For the purposes of this policy, “College Fees” include tuition fees and any other charges paid directly to London College of Legal Studies (South), excluding fees payable to the University of London.
- Distinction between College Fees and University of London Fees
Students should note that:
- Fees charged by London College of Legal Studies (South) are separate from fees charged by the University of London.
- Registration fees, examination fees, assessment fees and other University of London charges are determined by the University of London and are normally non-refundable unless otherwise stated by the University of London.
- Any refund relating to University of London fees shall be governed solely by the policies and regulations of the University of London.
- This policy applies only to fees paid directly to London College of Legal Studies (South).
- Fees which may be refundable
- Withdrawal before commencement of classes
A student who formally withdraws from their programme before the commencement of classes may be eligible for a refund of tuition fees paid to the College.
The College may deduct an administrative charge of up to twenty per cent (20%) of the total amount paid before processing the refund.
- Withdrawal within fourteen (14) days of commencement
A student who formally withdraws within fourteen (14) calendar days of the commencement of classes may be eligible for a refund of up to fifty per cent (50%) of the tuition fees paid.
The College reserves the right to apply reasonable administrative and processing deductions before calculating the refund amount.
- Withdrawal after fourteen (14) days of commencement
No refund of tuition fees will normally be granted once fourteen (14) calendar days have elapsed from the commencement of classes.
- Exceptional Circumstances
There may be exceptional circumstances in which the College will consider a refund request after the periods specified above.
Such circumstances may include:
- Serious medical conditions supported by appropriate medical evidence;
- Death of the student or an immediate family member;
iii. Visa refusal affecting overseas students;
- Other exceptional circumstances considered reasonable by the College.
Each request will be assessed individually on its merits. Approval of a refund under exceptional circumstances is not automatic and remains at the sole discretion of the College.
- Fees that are Non-Refundable
Unless otherwise approved under Section 4(d), the following fees are generally non-refundable:
- Admission fees;
- Monthly tuition fees already due or paid;
- Library fees;
- Annual student services charges
- Information Technology (IT) support fees;
- Registration, assessment, examination, and other fees paid to the University of London;
- Any other charges specifically designated by the College as non-refundable at the time of payment.
- Advance Payments and Credit Balances
Students who have paid fees in advance and subsequently withdraw may be entitled to a refund of any unused tuition fees in accordance with this policy.
Where a credit balance remains on a student’s account, the College may, with the student’s agreement, retain the credit for future study instead of issuing a refund.
- Outstanding Fee Liability
Approval of a refund request does not remove a student’s responsibility to pay any outstanding fees or charges owed to the College unless expressly agreed otherwise in writing by the College.
- Sponsored Students
Where fees have been paid by an employer, sponsor, organisation, or other third party, any approved refund will normally be made to the original payer unless otherwise agreed in writing by all parties concerned.
- How to request a Refund
Students seeking a refund must submit a written refund request to the College Administration.
The request must include:
- The reason for the refund request;
- Supporting documents where applicable;
- Any evidence relevant to exceptional circumstances;
- Bank account details for payment of any approved refund.
The College may request additional information where necessary before considering an application.
- Processing of Refund requests
The College will normally communicate its decision within twenty-one (21) working days of receiving a completed refund application together with all supporting documentation.
Where a refund is approved, payment will normally be processed within thirty (30) working days following approval.
- Method of Refund
All approved refunds will normally be:
- Paid to the original payer; and
- Made through bank transfer, crossed cheque, or another payment method approved by the College.
- Refunds will normally be processed in Bangladeshi Taka (BDT), unless otherwise agreed by the College.
- The College reserves the right to request additional verification where necessary before processing a refund.
- Currency and Exchange Rate Notice
Students are informed that fees payable directly to the University of London, including registration fees, examination entry fees, assessment fees and any other University charges, are determined by the University of London and are generally set in Pound Sterling (GBP).
As these fees may be converted into Bangladeshi Taka (BDT) for local reference and payment purposes, the actual amount payable may vary according to the prevailing exchange rate between GBP and BDT at the time of payment.
Accordingly:
- Any fee information published by the College is indicative only;
- Final payable amounts may vary due to exchange-rate fluctuations and applicable banking or processing charges; and
- Differences arising solely from exchange-rate fluctuations shall not constitute grounds for a refund by the College.
- The College will not be responsible for any losses arising from exchange rate fluctuations, bank charges, intermediary bank deductions, or payment processing fees incurred during the transfer of funds.
- Appeals
Students who are dissatisfied with a refund decision may submit a written appeal to the Head of Laws within fourteen (14) calendar days of receiving the decision.
The appeal should clearly state the grounds for reconsideration and include any additional supporting documentation.
The decision of the Head of Laws shall be final.
- Complaints
Students who are dissatisfied with the application of this policy may submit a complaint in accordance with the College’s Student Complaints Procedure.
Complaints will be handled fairly, promptly and in accordance with the College’s published procedures.
- Publication of the Refund Policy
Information regarding this Refund Policy is provided to students through the following channels and is available before enrolment and throughout the period of study:
- The College Prospectus and Programme Information Pack;
- Student Admission and Registration Documents;
- The College Website under Policies and Procedures / Student Information;
- Student Orientation and Induction Sessions;
- Direct communication from the Admissions and Student Support Office.
Students are informed of all applicable fees before enrolment and are advised of any additional costs that may arise during their studies.
